Onboarding is about more than just processes and checklists – it’s about people. A successful integration into a new company relies on human connection, and that’s where Buddy Matching comes in. At Wavestone, a leading international business and IT consultancy, this approach is transforming how new employees adapt to their roles.

The Buddy Effect

At Wavestone, a successful international business and IT consulting firm, over 300 new employees started at 21 locations in 2022 alone. Various onboarding measures help them to settle in better and faster. Among them: Wavestone Buddy Matching. On request, new arrivals are assigned a ‘buddy’ to work alongside them, beyond the hierarchical and thematic contacts. The decisive factor is that both buddies are on the same wavelength. Wavestone decided to use CHEMISTREE’s digital matching process to match the tandems automatically and optimally while making the process more efficient and scalable. Employees who have been with the company for more than 6 months participate as ‘buddies’. For ‘new buddies’, registration is possible before the official start of work with a private e-mail account. Thanks to the matching, human interaction is a given from day one. This greatly reduces internal inhibitions and external barriers to building personal relationships in the new company.

Nine months after the launch of Wavestone’s Buddy Matching program (April 2021), feedback from participating New Buddies revealed outstanding results. The approval ratings clearly show that the program’s objectives were fully achieved through CHEMISTREE’s matching solution.

What’s even more remarkable? Those who benefited from the matching process during their onboarding were significantly more likely to volunteer as buddies themselves. This natural cycle of participation allows the program to promote and sustain itself organically within the company, reinforcing a culture of connection and collaboration.

Results:

  • 83% said Wavestone Buddy Matching helped them settle into the company.
  • 86% received valuable information from their Wavestone Buddy.
  • 94% want to continue participating in Wavestone Buddy Matching in the future.

The Matching Process

To date, around 370 employees have taken part in Wavestone Buddy Matching, 150 as Buddies and 220 as New Buddies. 130 tandems have been created. A Buddy can also choose to onboard several New Buddies at the same time. They post their availability for new matches directly on the platform. Matches are made twice a month. The newcomers receive their optimal buddy match promptly, based on the current buddy pool. The perfectly matched tandems are formed on the basis of 1,907 weighted criteria. Preferences and personality traits play a major role in this process. The psychologically based matching questionnaire was developed in a participatory process with stakeholder groups at Wavestone. In this way, buddy matching was able to start with full acceptance and approval from all internal company groups. Once the matches have been determined using an algorithm, they go through a three-stage approval and consent process:

HR Review: Matches are reviewed and adjusted if necessary.

Buddies are notified of the match > they decide in favor or against (providing a reason)

New buddies are notified of the match > decide for or against (providing a reason)

Each tandem receives a breakdown of the criteria on which the match is based. Based on this, first the Buddy and then the New-Buddy can accept – or reject – their matching proposal.

 

Precise and Transparent

Participants can understand the accuracy of their match via the ‘Why we match’ display. Which matching criteria are made visible is project-specific and is decided during the design stage. The personality traits on which a match is based are not visible to anyone except the respective participants.
